Job Description – Full-Time Bookkeeper

Location: St. Augustine, FL (Hybrid – Primarily In-Office)

Compensation: $50,000 per year + Benefits

Reports To: Controller

Works With: CPA, Ownership, and Shared Services Team

Position Overview

We are seeking a highly organized and detail-oriented  Full-Time Bookkeeper to support a growing restaurant group with multiple businesses operating under a shared service center. This role is central to maintaining accurate financial records for each entity, supporting payroll operations, managing sales tax compliance, and assisting in the preparation of monthly financial statements.

The ideal candidate thrives in a multi-entity environment, is comfortable working collaboratively with accounting leadership, and has a strong command of QuickBooks Online, AP automation tools, and restaurant-related integrations.

Key Responsibilities

General Accounting

  • Maintain day-to-day bookkeeping for multiple restaurant entities within a shared services structure.
  • Record and reconcile all bank, credit card, and merchant service accounts.
  • Manage Accounts Payable and Accounts Receivable workflows across all businesses.
  • Process weekly and monthly journal entries, including accruals and intercompany allocations.
  • Maintain organized, audit-ready digital records and support documentation.

Accounts Payable Systems (Bill.com & Ramp)

  • Use  Bill.com to manage vendor bills, approvals, and scheduled payments.
  • Administer  Ramp for corporate card transactions, receipt management, and automated expense categorization.
  • Reconcile AP activity from both platforms to QuickBooks Online.
  • Ensure adherence to approval workflows and internal controls across all AP processes.

QuickBooks Online & Systems

  • Manage bookkeeping directly in  QuickBooks Online for multiple businesses.
  • Utilize and troubleshoot  QBO Sync tools (e.g., point-of-sale integrations, payroll sync, bank feeds, AP/credit card sync).
  • Assist in continuous improvement of accounting workflows and system automation.

Payroll & HR Support

  • Maintain a  deep understanding of payroll systems , payroll tax rules, and tip reporting requirements.
  • Process or assist with payroll runs; reconcile payroll entries and verify accuracy of employer and employee taxes.
  • Work with the Controller to ensure compliance with federal, state, and local labor/tax regulations.

Sales Tax & Compliance

  • Prepare and file  state and local sales tax returns across all applicable jurisdictions.
  • Reconcile sales tax liability accounts monthly and maintain accurate documentation.

Financial Reporting

  • Collaborate with the Controller and CPA to:
  • Prepare basic monthly financial statements for each company.
  • Assist with variance analysis and management reporting.
  • Support quarterly and year-end closing processes.

Other Duties

  • Support owners and management with ad hoc reports and financial requests.
  • Maintain strong internal controls and confidentiality of financial information.
  • Participate in periodic meetings with the Controller and CPA to ensure accuracy and consistency across all entities.

Qualifications

Required

  • 3+ years of bookkeeping experience, preferably in restaurant, hospitality, or multi-entity environments.
  • Strong proficiency in  QuickBooks Online , including multi-company file management.
  • Experience using  Bill.com Ramp , and QBO integration/sync tools.
  • Solid understanding of  payroll , tip reporting, and payroll tax rules.
  • Proven experience with  sales tax filings .
  • Intermediate to advanced Excel skills (pivot tables, VLOOKUP, reconciliations).
  • Ability to work on-site in  St. Augustine, FL , with some remote flexibility.
  • Exceptional attention to detail, organization, and confidentiality.

Preferred

  • Experience with restaurant POS systems (Toast, Square, Aloha, etc.).
  • Background in shared services, multi-unit operations, or similar environments.
  • Experience preparing or assisting with monthly financial statements.

Work Environment

  • Primarily in-office position located in  St. Augustine, Florida , with periodic remote work flexibility.
  • Team-oriented environment supporting multiple restaurant concepts.
  • Frequent collaboration with Controller, CPA, and operations teams.
