We are hiring a Unit Secretary ED PT for one of our clients in Geneva, NY.

Job Description:

The Unit Secretary in the Emergency Department (ED) plays a critical administrative and support role, ensuring smooth operations within the fast-paced environment.

Key responsibilities include:

  • Frontline Communication: Serve as the first point of contact for patients, visitors, and staff, answering phones, directing inquiries, and managing patient flow.
  • Patient Registration: Handle patient admissions, inputting personal information, and updating medical records.
  • Documentation: Maintain accurate and up-to-date patient charts, ensuring all forms and orders are properly filed and accessible.
  • Coordination: Assist in coordinating communication between physicians, nurses, and other healthcare team members, ensuring timely delivery of care.
  • Ordering Supplies and Equipment: Monitor and manage office and medical supply inventory, placing orders as needed.
  • Monitoring Patient Status: Update patient information, track room assignments, and communicate patient progress to the team.
  • This role requires strong organizational skills, attention to detail, and the ability to work under pressure while managing multiple tasks simultaneously.
  • The unit secretary is a vital part of ensuring the department runs efficiently and that patients receive timely care.

  • Occupational exposure to blood borne pathogens is not reasonably anticipated.
  • Normal work routine does not involve exposure to blood, body fluids or tissues.
  • Under the supervision of the Emergency Department Nurse Manager, performs clerical functions to support the clinical operations of the GGH Emergency Department.
  • Reviews ED records for completion and performs terminal filing of the same.

Essential Job Functions:

  • Develops and maintains department filing system.
  • Identifies filing method and communicates to department personnel.
  • Completes filing as needed and regularly reviews files for elimination.
  • Makes recommendations for improvements related to the filing process.
  • Establishes and maintains an inventory of departmental office supplies to ensure staff has materials required to perform their responsibilities.
  • Reports office supply expenditures to Nurse Manager or appropriate personnel.
  • Prepares budget information as instructed.
  • Makes recommendations for additions and deletions of supplies based on usage.
  • Retrieves and processes departmental mail in an expeditious fashion to ensure information is properly disseminated.
  • Identifies location for mail to be delivered by courier, and sorts/distributes mail within the department.
  • Ensures all mail is packaged in the appropriate mailing format.
  • Uses appropriate mailing lists as instructed.
  • Ensures all visitors and telephone calls are handled in a courteous and friendly manner.
  • Keeps visitor informed if there is a delay in the department personnel's arrival.
  • Answers the telephone in a timely (by the third ring) manner.
  • Takes a complete and accurate message and forwards calls when necessary.
  • Transfers call correctly, introducing the caller as instructed.
  • Enters all Radiology, Laboratory, and EKG orders into the Meditech System in an accurate and timely manner.
  • Inputs all discharge information, including transfers, LBE/AMA, 48 hour returns, deaths, and attending MD.

Qualification:

  • Required: ARRT, and OR C-Arm Experience
  • NYS Licensure, BLS & ARRT Certifications

Education Required:

  • High school or equivalent. Preferred: Secretarial or health related field.; Completion of course in medical terminology and/or EMS/pre-hospital experience

Experience required:

  • General Secretarial Experience.

Preferred:

  • Previous EMS or Emergency Dept. related experience

Work hours:

  • High energy candidates for PT days
  • 3x8s per week (8a-3p), EOW, Holiday may be required
  • Part Time Days
  • 3x8s per week - 8:00a - 3:00p)
  • EOW, Holidays
