Job Description

This newly created role of Service Coordinator will play a key role in supporting Guardian’s North American service operations by ensuring smooth coordination of day-to-day activities, maintaining data accuracy, and assisting in identifying opportunities for process improvement. This role directly supports and collaborates with the Service and Support Manager to strengthen Guardian’s service efficiency, customer satisfaction, and consumable sales growth. This means you will be the first to respond and be comfortable with being ready to be on site when needed.

Job Responsibilities:
  • Schedule and book service, installation, and commissioning jobs across the U.S., Canada, and Mexico.
  • Communicate with technicians and customers to confirm job details, travel logistics, and scope of work.
  • Manage travel and expenses through Navan, ensuring cost-effective and accurate bookings.
  • Prepare and maintain job sheets, service documentation, and customer site information.
  • Generate and track service invoices, ensuring timely completion and accuracy.
  • Maintain the Service Object and ticketing hub with up-to-date job data.
  • Track and reorder consumables and critical spare parts as needed.
  • Work closely with the Service and Support Manager to identify bottlenecks in service processes and recommend efficiency improvements.
  • Provide visibility into technician scheduling, service turnaround, and completed work.
  • Identify and recommend process efficiencies within HubSpot, Navan, and internal tracking tools.
  • Help manage incoming help calls and tickets by taking calls, creating tickets, and reviewing them in real time. This role will ensure on-call technicians follow up promptly and that all customer issues move through the service process efficiently
