Billion-dollar, Privately-held Global Industrial Company in Midtown Manhattan is seeking a new full-time/permanent Executive Assistant to join their Finance Team. This is a newly created position due to company growth! This person will be supporting four senior executives on the Finance leadership team, including the Head of Strategic Initiatives, Chief Accounting Officer, Treasurer, and Vice President, Controller. Candidates must have a minimum of 3-5+ years of applicable administrative experience and a Bachelor’s degree is required. The ideal candidate will be an exceptional self-starter who is adaptable, personable, results-driven, highly autonomous, proactive, calm under pressure, and thrives in a dynamic, fast-paced environment. This role requires emotional intelligence, unwavering reliability, and a proven ability to independently prioritize complex requests, effectively manage multiple executive personalities and communication styles, and demonstrate superior judgment and intellectual curiosity in all tasks. Salary depends on experience (110-125k+ base), plus paid overtime and generous bonus eligibility. Amazing, comprehensive benefits, catered lunch, gym reimbursement, lots of additional perks, etc.
Hours are 8:30am-5:30pm, with flexibility as needed. Hybrid 4/1 work schedule (In-office Monday through Thursday, work remotely on Friday).
Responsibilities:
- Strategically manage and maintain the executives’ calendars, scheduling and rescheduling appointments with both internal and external stakeholders.
- Coordinate domestic and international travel arrangements (e.g., flights, hotel accommodations, ground transportation, etc.) and create itineraries as needed.
- Schedule individual, team, and interdepartmental meetings, aligning calendars across stakeholders, operating companies, and time zones.
- Prepare and submit expense reports, ensuring timely and accurate submission according to company policy.
- Handle highly sensitive and confidential information with the utmost discretion and integrity.
- Organize and prepare for internal and external stakeholder meetings, including gathering and printing documents and attending to meeting logistics.
- Work in close partnership with other Executive Assistants cross-functionally and throughout the office.
Requirements/Qualifications:
- Bachelor’s degree required.
- Minimum 3-5+ years’ prior administrative experience working in a fast-paced environment and supporting dynamic executives.
- A meticulous and rigorously organized individual with a commitment to excellence, impeccable communication skills, both written and verbal, and a passion for details.
- Strong interpersonal skills with the ability to communicate and build/leverage relationships with internal and external stakeholders, staff, and business partners.
- Proactive problem solver who thinks ahead and can spot problems quickly, and resolve them or escalate accordingly with the executives.
- A roll-up-your-sleeves mentality and low-ego attitude, with the ability to work both independently and collaboratively with a team in a fast-paced environment.
- Able to juggle multiple tasks simultaneously, with sophistication and ease.
- Demonstrates an intellectual curiosity and continuous drive to improve performance.
- Openness to constructive feedback with the adaptability to continuously refine performance and support strategies, as needed.
- Professional experience working in G Suite, particularly with Google Calendar and Google Slides; tech-savvy and familiar with PowerPoint for basic slide creation.
