Position Summary:
The Executive Assistant will provide high-level administrative support to the Executive Director and the Director of Finance and Operations, managing schedules, coordinating communications, handling confidential information, and facilitating efficient workflow. This role requires a high level of discretion, particularly when managing sensitive financial information, donor records, and organizational budgets. Responsibilities may include maintaining accurate financial databases, preparing confidential reports, and assisting with the preparation of financial presentations. The ideal candidate will possess exceptional organizational and communication skills, a strong work ethic, meticulous attention to detail, a foundational understanding of financial processes, and a genuine passion for serving within a Christian ministry environment.
Key Responsibilities:
Executive Support:
Manage and maintain the Executive Director complex calendar, scheduling appointments, meetings, and travel arrangements.
Prepare and organize materials for meetings, presentations, and conferences.
Screen and prioritize incoming communications, including emails, phone calls, and mail.
Draft and prepare correspondence, reports, and other documents.
Handle confidential information with discretion and professionalism.
Conduct research and compile data as needed.
Prepare expense reports and manage travel logistics.
Communication and Coordination:
Serve as a primary point of contact for internal and external stakeholders.
Coordinate communication between the Executive Director and staff, board members, donors, and community partners.
Facilitate communication with community pastoral groups, including scheduling meetings, disseminating information, and coordinating collaborative efforts.
Organize and coordinate meetings, events, and conferences, including logistics, catering, and materials.
Maintain accurate and organized filing systems, both electronic and physical.
Finance and Operations Support:
Manage and organize office supplies, equipment, and records.
Schedule and coordinate meetings and appointments.
Prepare and distribute meeting agendas, minutes, and other documents.
Maintain and update databases and filing systems.
Assist with the preparation of presentations and reports.
Provide general administrative support to the finance and operations teams.
Assist with expense reporting and reconciliation.
Assist with basic bookkeeping tasks.
Ability to be flexible with changing priorities.
Qualifications:
Christian Faith:
Profess and demonstrate a personal commitment to Jesus Christ as Lord and Savior.
Adherence to Christian principles and values in both personal and professional life.
Educational Background/Experience:
Proven experience as an Executive Assistant, preferably in a non-profit or ministry setting.
Excellent organizational, time management, and problem-solving skills.
Exceptional written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle confidential information with discretion and integrity.
Strong interpersonal skills and the ability to work effectively with diverse individuals.
Ability to work independently and as part of a team.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
High school diploma required; Bachelor degree preferred.
