Job Description
Purpose: To advance the mission of the school by giving overall leadership and direction to an athletic program that complements excellence and Christian character in the classroom and on the athletic field.
Accountability: Reports to the Director of Athletics
FLSA Status: Exempt, Full-time
Skills:
- Must have ability to pay close attention to detail, communicate effectively orally and in writing, solve problems effectively and efficiently in a service-oriented manner, demonstrate skill in using computer spreadsheets, word processing, email and other applications as needed.
- Qualifications:
- Must be a Christ-follower who upholds, in word and deed, the Hill Country Christian School of Austin’s Core Values and Statement of Faith.
- Must faithfully attend a church whose fundamental beliefs are in agreement with the Statement of Faith of this school.
- BS/BA in Physical Education or Health Sciences is required.
- MA in Athletics Administration is preferred.
- Participated in high school and possibly college sports. Have a wide spread knowledge of interscholastic sports.
- Experience in coaching multiple sports and being an athletic director.
- Must be capable of exercising good judgment in evaluating situations, managing priorities, and making decisions.
- Must have strong organizational skills. Demonstrated ability to set priorities and coordinate multiple projects.
- Must have exemplary communication skills, both written and oral.
General Responsibilities:
- Interact in a Christ-like manner at all times. Utilize the interpersonal relationship method of
- “Matthew 18” as commanded by Jesus Christ.
- Maintain awareness of the by-laws and rules of the various athletic leagues that the school is affiliated with.
- Responsible for event and/or facilities coordination, scheduling, and communications, to include any changes.
- Provide content for the Knightly News.
- Ensure athletes are compliant for all sports forms needed.
- Liaison for all athletics award ceremonies coordination.
- Track accomplishments and submit to vendor for award creation.
- Maintain athletic archives of individual and team records.
- Schedule sport pictures and communicate to coaches and parents.
- Schedule letter jacket vendor twice a year.
- Admin on Duty for select high school home games.
Sport Specific Responsibilities:
- Perform data entry of the sport schedules, player information, team rosters, and facility reservations in multiple systems.
- Maintain a cushion of two weeks in confirming upcoming athletic events
- Schedule officials for home competitions.
- Maintain inventory control for athletic uniforms and equipment.
- Maintain inventory control of team first aid kits.
- Responsible for coordination and confirmation of officials up to and including game day changes.
- Track and submit Academic All-State award information to TAPPS.
- Ensure that coaches have completed TAPPS requirements, have a current background check on file, and completed child abuse training annually.
- Perform other duties as assigned.
- Create a budget and communicate with coaches and order any equipment needed.
- Initiate recruitment of coaches, conduct interviews, and hire qualified candidates for coaching positions.
- Asses, evaluate and develop coaches
- Create and communicate weekly practice schedules
- Confirm two weeks out with other schools on game schedules
- Hotel reservations
- Overseeing direction and quality of overall program
- Communicate weekly with team parents
- Manage early releases
- Ensure all coaches have successfully completed all required certifications including TAPPS and CPR
- Manage coaches and ensure that they are trained on school processes and policies that are relevant to athletics
- Work with coaching staff and AD to ensure transportation to and from matches is well planned with adequate seating capacity, sufficient travel time to events and conducted in a safe fashion
- Perform school bus driving duties as needed
- Seek and schedule appropriate non-conference games
- Work with coaches and team parents to ensure volunteers are secured for each game
- Mediate the resolution of problems, issues and concerns that may arise between coaches and parents/students or other school staff
- Be approachable to parents, staff and students in order to provide a channel through which students and the community may express their support or concerns about the athletic program.
- Ensure historical records are maintained for each sport to include win/loss records and outstanding achievements.
- Serve as liaison with middle school and high school athletic interleague organizations.
Sports Communications:
- Content Creation and Management: Writing engaging text posts, creating visuals (photos, graphics, videos), and curating content from other sources.
- Community Engagement: Responding to comments and messages, moderating conversations, and fostering a sense of community around the brand.
- Strategic Planning: Developing and implementing social media strategies aligned with overall school marketing goals, including content calendar planning and campaign development.
- Performance Analysis: Monitoring social media metrics (likes, shares, comments, impressions, etc.) to assess campaign effectiveness and identify areas for improvement.
- Staying Updated: Keeping abreast of social media trends, platform changes, and best practices.
- Newsletter: Create and edit a bi-weekly newsletter of sports happenings as well as curating a summer newsletter for the school community.
- Athletic photos: Schedule and coordinate team and individual photos with the school photographer.
- Athletics Website ( Hillcoathletics.com ): Be the point person for our athletics website. Ensure accurate information as well as updating pictures, rosters, schedules, and coaches bios.
Physical and Environmental Conditions:
- Will be located in a busy, sometimes noisy office. Will be faced with frequent interruptions and must meet with others on a regular basis.
- There are a number of deadlines associated with this position, which may cause significant stress. Must be able to communicate clearly with a wide variety of people on various issues.
- Frequently move about inside campus buildings and outside on the grounds.
- Occasional lifting of 5 to 20 pounds.
- Must be able to remain in a stationary position the majority of the time using repetitive arm, hand and finger movements.
- Operates a computer the majority of the time and occasionally a copy machine.
- Frequently communicates with co-workers and others. Must be able to exchange accurate
- information in these situations whether in person, via email, or telephone.
Possible exposure to a variety of childhood and adult diseases and illnesses.
